1. Who we are
Cycle Care is an app for iPhone and Android that fertility clinics give their patients. It is provided by Tradent Ai inc. ("we", "us"), 1401 21st St #7964, Sacramento, CA 95811, United States. This policy explains how the Cycle Care app handles your information.
2. Your clinic and us
Your clinic is responsible for your medical records. We provide Cycle Care to your clinic and handle your information on your clinic's behalf, following its instructions and our agreement with it. If your clinic is in the United States, it is a "covered entity" under HIPAA and we are its "business associate". Your clinic's own Notice of Privacy Practices explains how it uses and shares your health information. Ask your clinic for a copy.
This policy explains what Cycle Care itself collects, how it is used and protected, and what you can ask for.
3. What we collect
You can only use the Cycle Care app once your clinic has given you a one-time QR code to connect. Depending on what you and your clinic enter, Cycle Care holds:
| Kind | Examples |
| Identity | Your name, date of birth, and your clinic's record number for you |
| Contact details | Phone number, email address, home address |
| About you | Occupation, ethnicity, height and weight. Your profile can only be saved with all four filled in. |
| Emergency contact and pharmacy | Names, phone numbers, addresses |
| Health history (entered by you) | Allergies, medications, supplements, diagnosed conditions, surgeries, pregnancy history, previous fertility treatment, activity, sleep and stress, substance use |
| Your partner's information (entered by you) | Your partner's name, date of birth, allergies, medications, supplements, surgeries |
| Your treatment (entered by your clinic) | Treatment cycles and stages, medication schedules, appointments |
| Reproductive information | Period dates, flow, symptoms and notes |
| Results (shared at your clinic's choice) | Egg retrieval, embryology, embryo grading, and preimplantation genetic testing (PGT) results |
| Consent forms | The form, the name you type, your drawn signature, and when you signed |
| Messages | Your chat messages with your clinic |
| Food diary | Meals, water, supplements and your nutrition goals |
| Records of activity | Which clinic staff did what and when (for example, opening your record), kept so your clinic can account for who accessed your information |
| Technical information | Your sign-in on the app; on Android, if you allow notifications, an address that lets us send a notification to your phone |
Information about your partner. If you enter details about your partner, please make sure they are happy for you to share them with your clinic.
What we do not collect. Cycle Care contains no advertising and no tracking tools. We do not collect your location. The app uses your camera only to scan your clinic's QR code. It takes and keeps no photos.
4. How we use it
We use your information only to:
- show you, in the app, the treatment plan, medications, appointments, results and messages your clinic shares with you;
- show your clinic the information you enter;
- send reminders you have turned on, and notifications of new messages from your clinic;
- keep the service secure, and keep records of who accessed what;
- meet our legal obligations.
We do not sell your information. We do not use it for advertising, and we do not use it to train artificial intelligence models.
5. Who we share it with
- Your clinic: its staff see what you enter, and you see what they share with you.
- Our authorised staff can access it only when needed to run, support and secure the service.
- Google Cloud stores and runs Cycle Care for us, in data centres in the United States, under a HIPAA Business Associate Agreement.
- Google Firebase Cloud Messaging (Android only, once turned on) delivers notifications to your phone. A notification only ever says that you have a new message from your clinic, never what it says.
- On Android, Google ML Kit reads your clinic's QR code inside the app. It sends Google basic technical data, such as the phone model, app version and error codes, to keep the scanner working. According to Google, this does not include the code itself. On iPhone, the code is read by the phone's own software and nothing is sent.
- Apple and Google distribute the app through their app stores, under their own privacy policies.
- Authorities, but only when the law requires it.
We do not share your information with anyone else.
6. Notifications and your lock screen
Medication reminders say only "Time for your medicine". They never name the medicine or the dose, so nothing about your treatment appears on your lock screen. Appointment reminders, which you have to turn on yourself, show the time and your clinic's name.
7. Information kept on your phone
The app keeps a copy of your information on your phone, in your phone's encrypted secure storage, so it works with a weak signal. The private journal stays only on your phone and is never sent to us or to your clinic. Android's cloud backup of the app's data is turned off.
When your clinic ends your access to the app, the app erases what it holds the next time it connects. When you delete your data from the app (section 10), your phone is erased straight away.
8. How we protect it
- Encrypted on its way between your phone and our servers, and while stored.
- Each clinic sees only its own patients. Before releases, we test that no clinic can reach another clinic's records.
- Clinic staff sign-ins expire after 8 hours.
- Our own staff's access is limited to a small number of named accounts.
No system is perfectly secure. If a breach affects your information, we will tell your clinic so that you can be told as the law requires.
9. How long we keep it
We keep your information for as long as your clinic uses Cycle Care. When your clinic stops using Cycle Care, we return your information to your clinic or delete it within 90 days, unless the law requires us to keep it longer. Your clinic may be required by law to keep your medical records for a set number of years, in its own systems.
If you ask us to delete your data (section 10), we delete it within 30 days. What remains afterwards contains nothing about you: a note that a record existed and was deleted, and the log of which clinic staff opened it and when, without its contents, so your clinic can still account for access. Copies in our backups are overwritten within 10 days.
10. Your choices and rights
- See your information: most of it is in the app. To ask for a copy of your records, ask your clinic.
- Correct it: you can edit your profile and health information in the app, or ask your clinic.
- Notifications: you can turn reminders and notifications on and off in the app and in your phone's settings.
- Stop using the app: ask your clinic to end your access. The app then erases what it holds on your phone.
- Delete your data: in the app, open the menu, then Settings, and choose Delete my data and log out. Your phone is erased and logged out straight away, and we delete everything we hold about you within 30 days. The app shows you when it has been done. You can also ask by email at sales@cyclecare.life, or see cyclecare.life/delete-account. Your clinic's own medical records are not affected: ask your clinic about those.

11. Children
Cycle Care is for adults receiving fertility treatment. It is not intended for anyone under 18.
12. Not medical advice
Cycle Care shows information from your clinic and general information about treatment. It is not a medical device and does not diagnose, treat, cure or prevent any medical condition. Always follow your clinic's advice, and in an emergency contact your clinic or emergency services.
13. Changes to this policy
If we change this policy, we will update the date at the top. If the change is significant, we will tell you in the app.
